One owner, one loop — enquiry to supplier price to customer quote, drafted at every step
Alpha MG is a small industrial and engineering supplies business in the West Midlands — pipe fittings, fasteners, flanges, valves and safety wear, run by one owner who sources awkward parts so his trade customers don't have to shop around. Every job runs the same loop: enquiry in, supplier prices gathered, options compared, margin added, customer quoted, supplier ordered if it lands. We set up an AI Business OS — the business version of ChatGPT, fitted to that exact loop — so each step starts from a prepared draft rather than a blank email between phone calls.
Inside the Alpha MG workspace
Enquiry triage
A phone note or a messy email becomes a clear checklist: what's actually being asked for, which specs are missing, and which suppliers to price it with. The owner confirms the missing questions before anyone — customer or supplier — is contacted.
Supplier quote requests and chasers
It drafts the emails to suppliers for each item, and polite chasers when replies are slow. The owner checks the recipients and presses send.
Supplier quote comparison
When quotes come back, it lines them up internally — cost, availability, carriage — so the owner can pick a supplier and set the margin quickly. That comparison stays internal, always.
Customer quote drafts
From the chosen supplier price and the owner's margin note, it drafts the customer quote. Supplier cost and margin never appear in anything customer-facing — that separation is a written rule in the workspace, not a habit.
Accepted order handoff
When a customer says yes, it turns the accepted quote into a supplier order draft, delivery or collection notes, and an invoice-ready checklist against the Orderwise records — so nothing gets missed between 'yes' and 'invoiced'.
Follow-ups and the weekly picture
Quiet customer quotes get polite chaser drafts, and the owner can ask for a plain-English weekly summary of open quotes and orders so nothing sits forgotten.
Nothing reaches a customer or supplier on its own — the owner approves every quote, supplier order, delivery arrangement and invoice detail before it is sent.
What businesses like this ask
Could a customer ever see my supplier cost or margin?
No. The workspace keeps the internal comparison and the customer-facing quote strictly separate, and it's written into the rules that supplier cost and margin never go into a customer draft. The owner still reads every quote before it's sent.
I run Orderwise on a hosted server — does that have to connect?
No. The workspace works from exports and manual records first. A live connection is only worth exploring later, as a separately scoped job, if the export route ever stops being enough.
Is this overkill for a one-person business?
It's arguably most useful for one. The same loop — triage, supplier prices, compare, quote, order — repeats all day, and each step now starts from a prepared draft instead of a blank page. The owner stays the only person who approves and sends.
